  •  writers and publishers (professional and self-published)

  • other editors and proofreaders

  • organizations and students.

I will collect and store the relevant information about people who contact me, whether it be reoccurring clients or prospective clients. The following privacy policy aims to provide you with full disclosure about how I’ll safely use any personal data or other relevant information you provide me.

This privacy policy is per the law in the UK under the UK General Data Protection Regulation and the Data Protection Act 2018.

This policy was last updated on 2 August 2024.

Why do I collect your data/information?

All data is acquired from you through this website which allows me to:

  •  acknowledge and respond to your enquiry

  • contact you to further discuss your enquiry and any potential project(s)

  • communicate with you during the course of the project(s)

  • return the completed project(s) to you and complete our correspondence.

I may keep and archive project information and documents unless you ask for them to be deleted, otherwise they will be retained to provide a reference if you ever want to work with me again in the future. If you have sent a sample in exchange for a quote, I will delete the sample text in case we do not proceed with the project once you have been provided a quote.

What data/information do I collect?

  • full name

  • address

  • email address

  • telephone number

  • full disclosure of project details

  • copies of any documents you provide to fulfill the contract between us.

I need to collect this information for ‘at least 5 years after the 31 January submission deadline of the relevant tax year’ in order to comply with HMRC guidelines for taxation purposes, and also my own internal accounting reasons. This data also allows me to contact clients about the prospect of new work, ongoing work, or returning clients.

Financial information

I do not collect any financial information through my website. Upon receipt of my invoice, which will be sent via email, you will be asked to pay by an appropriate method (bank transfer/PayPal). I do not accept payment by card or cheque.

Security

It is a priority that any data/information that I collect from you is held securely. Any project files (ongoing and completed) are collected and stored on a computer hard drive and backed up on Dropbox/Google Drive for extra security, both of which are password-protected. Any devices I use to complete my services are password/fingerprint-protected, and I have sole access to these devices. I ensure that all data is safely wiped from old devices before they are disposed of.

In the event of a data breach, you will be notified as soon as possible if I believe your information may be vulnerable or at risk, although I make sure all data is secured as best as I possibly can. It is your choice whether we exchange files/documents through email or a service such as Dropbox or Google Drive, however, due to the nature of the internet, there is a small risk that any information sent and received can be intercepted.

I will not sell or distribute your data/information to third parties unless it is required by law or for tax purposes. Your information will not be shared with anyone unless you provide explicit permission (e.g. feedback, testimonial, reviews)

Controlling your data/information

  • You can request, at any time, to see what personal data I hold about you.

  • If you believe that any or all data I hold is inaccurate, please get in contact as soon as possible so I can correct the relevant records.

  • If we had previously agreed, and you have changed your mind about me using your personal information for direct marketing purposes, you can inform me by getting in touch with me.

  • As previously mentioned, you can request for any personal data I hold about you to be erased. However, this doesn’t include any data I am required to retain for legal or security purposes.
